Facilitator Toolkit

Use the facilitator guide to learn more about what is required to run the Open Source Guidance Programme. We have a self-access facilitator training pack and resources to help you start, run and monitor the success of the course.

Setting up a course

The first thing we recommend doing is completing the facilitator training. This will give you an idea if you are willing and able to run a course. Mosaik has designed a self-access Facilitator training course. It will take around 3-4 hours in total but can be done at your own pace. Follow the slides and the notes written underneath.

Creating your class

It will entirely depend on your context how you will recruit your students and set up your class. It can be useful to have some clear criteria for applicants. For example, level of English, High School Diploma or eligibility to apply for opportunities. You may want to conduct short interviews or create an online application form. This part is really up to you.

Pre-course survey

For final registration of participants for your course you will want to gather participant information.

Behaviour agreement

The Guidance Programme works best when participants feel safe to share, ask questions, and take risks with their writing and ideas. One of the most effective ways to create that environment is to agree how you will treat each other from the very start. A behaviour agreement does not need to be formal or complicated — it is simply a set of principles the group commits to together. A few short statements like, I will respect everyone and everyone’s opinions, are usually sufficient.

Decide success criteria

Decide how you are going to evaluate success on the course. For example, to pass the course students must:

  • Attend programme sessions (at least 80%)
  • Complete and submit a CV 
  • Complete and submit a motivation letter 
  • Complete the Final Feedback Form for students

These are suggested criteria, you must make sure yours are achievable for your participants.

Certificates

Decide if you will give certificates to successful students. You can find a template in the Wrap up section. Another or additional option is a letter of recommendation.

Set up check-list

Participants
  • Send the pre-course survey and confirm all participants have completed it
  • Confirm the number of participants and create a register
  • Share the date, time, and format of the first session with all participants
  • Set up a WhatsApp group and confirm all participants have joined
  • Online: Send the video conferencing link (e.g. Zoom) to all participants
  • Face to face: Confirm the venue address and share directions with participants
 
Venue and technology

Online

  • Test your internet connection is stable enough for video and screen sharing
  • Check you can share your screen and play video with sound
  • Check you know how to use breakout rooms
  • Do a test run of the session slides in presentation mode via your conferencing platform
 Face to face:
  • Book and confirm the venue
  • Check the room has enough seating for your group
  • Check whether a projector or screen is available for displaying slides
  • Check whether participants will have access to computers or need to work on paper
 
Materials
  • Download and review the Session 1 lesson plan
  • Download and review the Session 1 slides
  • Online: Share the Application Pack checklist link with participants in advance
  • Familiarise yourself with the student takeaway materials for Session 1
  • Complete the facilitator training if you have not already done so
 
Yourself
  • Note any information from the pre-course survey that is relevant to how you will run the course (e.g. language needs, technology access, prior experience)
  • Identify any participants who may need additional support and think about how you will provide it
 
End of course
